Booking Terms & Conditions

Thank you for choosing Villa Kalliroi. Our aim is to provide every guest with a relaxing, comfortable and memorable stay. These Terms & Conditions form the agreement between you and us for all direct bookings made through our website, by email or any other direct communication channel.

Please read these Terms & Conditions carefully before submitting a booking request. By submitting a booking request through our online booking engine or by requesting a booking directly with us by email, you confirm that you have read, understood and accepted these Terms & Conditions on behalf of yourself and every member of your Booking Party.

PART 1 – GENERAL

1. Definitions

Throughout these Terms & Conditions, the following words have the meanings set out below:

"We", "us" or "our" means the owners of Villa Kalliroi.

"You" or "your" means the person making the booking and entering into this agreement. You confirm that you are at least 18 years of age and are authorised to enter into this agreement on behalf of every member of your Booking Party.

"Booking Party" means every person staying overnight at the Property under your booking, including children.

"Visitors" means any person invited onto the Property by you or your Booking Party who is not staying overnight.

"Property" means Villa Kalliroi, including all indoor and outdoor areas made available to guests, with the exception of any areas specifically identified as private or prohibited.

"Booking Confirmation" means the written confirmation issued by us confirming that we have accepted your booking request and setting out the details of your reservation, including the payment requirements.

"Force Majeure" means any event beyond the reasonable control of either party, including but not limited to natural disasters, wildfires, earthquakes, floods, severe weather, epidemics, pandemics, war, civil unrest, government restrictions, interruption of essential utilities or any other event that makes performance of the booking impossible, illegal or unsafe.

2. Booking Agreement

By submitting a booking request through our online booking engine or by requesting a booking directly with us by email, you confirm that you have read, understood and accepted these Booking Terms & Conditions on behalf of yourself and every member of your Booking Party.

A booking becomes confirmed once we have accepted your booking request and issued a Booking Confirmation in writing.

A confirmed booking remains conditional upon receipt of the booking deposit in accordance with Clause 4 (Payment). If the required booking deposit is not received by the applicable due date, we may cancel the booking without further notice and make the Property available for re-booking.

Until a Booking Confirmation has been issued, we reserve the right to decline or withdraw any booking request without obligation.

Unless otherwise agreed by us in writing, a minimum stay of four (4) consecutive nights applies to all direct bookings. We reserve the right to make exceptions at our sole discretion.

You are responsible for ensuring that all information provided during the booking process is accurate and complete, including the names of the members of your Booking Party, the number of guests and your contact details.

You accept responsibility for ensuring that every member of your Booking Party and any Visitors complies with these Terms & Conditions throughout the duration of the booking.

3. Booking Changes

Changes requested by you

If you wish to amend your booking after it has been confirmed, please contact us as soon as possible.

We will make every reasonable effort to accommodate your request; however, all requested changes are subject to availability and are not guaranteed.

Requests to:

  • change arrival or departure dates;

  • increase or reduce the number of guests;

  • extend or shorten the stay; or

  • make any other material change to the booking,

may result in revised pricing or may not be possible.

Reducing the number of guests after a booking has been confirmed does not automatically entitle you to a reduction in the agreed booking price.

Changes made by us

We hope it will never be necessary to amend or cancel a confirmed booking. However, in exceptional circumstances, we may be required to do so.

If Villa Kalliroi becomes unavailable due to Force Majeure, essential repairs, safety concerns or any other event beyond our reasonable control that renders the Property unavailable or unsuitable for occupation, we reserve the right to cancel your booking.

Should this become necessary, we will notify you as soon as reasonably possible and refund all monies paid in respect of the affected booking.

Our liability in such circumstances shall be limited to the refund of monies paid for the affected booking. We shall not be liable for any indirect or consequential losses, including but not limited to travel costs, alternative accommodation, loss of enjoyment or any other expenses, except where such limitation is prohibited by applicable law.

4. Payment

A booking deposit of 50% of the total booking value is required to secure your reservation. The booking deposit must be received within three (3) working days of the Booking Confirmation unless otherwise agreed by us in writing.

The remaining balance must be received no later than 30 days before your scheduled arrival.

Bookings made within thirty (30) days of arrival require payment of the full booking value at the time the Booking Confirmation is issued.

If the booking deposit or any remaining balance is not received by the applicable due date, we may cancel the booking without further notice and make the Property available for re-booking.

Unless otherwise agreed in writing, all payments must be made using the payment methods specified in your Booking Confirmation.

5. Cancellation

You may cancel your booking at any time by notifying us in writing.

Cancellation by You

The following cancellation terms apply:

• More than sixty (60) days before arrival: all payments received will be refunded.

• Sixty (60) days or less before arrival: an amount equal to fifty percent (50%) of the total booking value shall remain payable.

• No-show or early departure: the full booking value remains payable and no refund will be made.

Where cancelled dates are successfully re-let, we may, entirely at our sole discretion, offer a full or partial refund. Nothing in this clause creates an obligation on us to re-let the Property or to provide any refund beyond the cancellation terms set out above.

We strongly recommend that you obtain comprehensive travel insurance to cover cancellations and other unforeseen circumstances.

Cancellation by Us

If we cancel your booking due to circumstances described in Clause 3 ("Changes made by us"), all monies paid by you in respect of the affected booking will be refunded in accordance with that clause.

PART 2 – YOUR STAY

6. Check-in and Check-out

Unless otherwise agreed in writing:

  • Check-in is available from 15:00.

  • Check-out is by 11:00.

Early check-in and late check-out may be available on request but cannot be guaranteed.

Self check-in instructions, including key safe information, will be provided before arrival.

At check-out, all keys must be returned to the key safe as instructed. Any costs arising from lost keys, damaged locks or replacement of the key safe or locking system may be charged to you.

7. Occupancy and Visitors

The maximum overnight occupancy is:

  • up to 6 guests using the existing beds; or

  • up to 8 guests where the sofa bed has been requested in advance and prepared by us.

The number of overnight guests must never exceed the number confirmed in your Booking Confirmation.

Visitors are welcome during reasonable hours, provided they respect the Property, neighbouring residents and these Terms & Conditions.

Visitors may not remain overnight unless they have been added to the booking and approved by us in writing.

Sleeping in vehicles, tents or any temporary accommodation on the Property is not permitted.

You remain responsible for the conduct of your Booking Party and any Visitors while they are on the Property.

8. Respect for the Property and Our Neighbours

Villa Kalliroi is located in a peaceful residential and agricultural area.

We kindly ask that you respect both the Property and the surrounding community throughout your stay.

Quiet hours apply between 23:00 and 07:00.

Parties, events, excessive noise or any behaviour likely to disturb neighbouring residents are strictly prohibited.

We reserve the right to terminate your stay immediately, without refund, where these conditions are seriously or repeatedly breached.

9. Children

Children are welcome at Villa Kalliroi. You are responsible for supervising all children in your Booking Party at all times, both inside and outside the Property.

Children must never be left unattended, particularly near the barbecue, outdoor shower, steps or any other area that may present a safety risk.

10. Roof Area

Access to the roof area is strictly prohibited at all times.

The roof does not have protective safety barriers and presents a significant risk of serious injury from falling.

You are responsible for ensuring that every member of your Booking Party and any Visitors complies with this restriction.

Any person entering or attempting to access the roof area does so against our explicit instructions and in breach of these Terms & Conditions.

11. Smoking, Fire Safety and Barbecue

Smoking is permitted outdoors only. Ashtrays are provided and cigarette ends must be completely extinguished before disposal.

Due to the increased risk of wildfires in Crete, guests must exercise particular care whenever smoking or using the barbecue.

The barbecue must never be left unattended while in use and must be completely extinguished after use.

Any local fire restrictions or official instructions issued by the Greek authorities must be observed at all times.

12. Pets

Pets are not permitted unless expressly agreed by us in writing before your arrival.

13. Damage and Breakages

We understand that accidents can happen.

Please notify us as soon as reasonably possible if any damage, breakage or malfunction occurs during your stay.

Prompt reporting allows us to resolve issues quickly and minimise inconvenience for future guests.

You accept responsibility for any loss, damage or excessive cleaning resulting from the actions of your Booking Party or your Visitors beyond normal wear and tear.

Where repair, replacement or additional cleaning is required, you agree to reimburse us for the reasonable costs incurred.

14. Use of the Property

Villa Kalliroi is provided exclusively for private holiday accommodation.

The Property must not be used for:

  • commercial activities;

  • unlawful activities;

  • parties or organised events;

  • subletting or transferring your booking to another person without our written consent;

  • commercial photography or filming without our prior written permission; or

  • any purpose other than the holiday accommodation agreed at the time of booking.

Providing false or misleading booking information, exceeding the agreed occupancy or otherwise materially breaching these Terms & Conditions may result in refusal of check-in or immediate termination of your stay without refund.

PART 3 – RESPONSIBILITIES AND LEGAL PROVISIONS

15. Your Responsibilities

Throughout your stay, you agree to:

  • treat the Property, its furnishings and equipment with reasonable care;

  • comply with these Terms & Conditions and any House Rules provided before or during your stay;

  • ensure that every member of your Booking Party and any Visitors also comply with these Terms & Conditions;

  • secure the Property by locking doors and windows whenever you leave;

  • use appliances, the barbecue, fireplace and all other facilities safely and in accordance with any instructions provided;

  • switch off air conditioning, lights and electrical appliances when leaving the Property, unless required for the safe operation of the Property or agreed otherwise; and

  • notify us promptly of any damage, defect or maintenance issue that arises during your stay.​

 

16. Our Responsibilities

We will use reasonable care and skill to provide the Property as described on our website and in your Booking Confirmation.

We will:

  • ensure the Property is clean and prepared for your arrival;

  • maintain the Property to a reasonable standard;

  • respond as promptly as reasonably possible to reported maintenance issues; and

  • respect your privacy throughout your stay, except where access is reasonably required under Clause 17.

 

17. Access to the Property

Your privacy is important to us.

Except in an emergency or where otherwise permitted under these Terms & Conditions, we will not enter the Property during your stay without first attempting to notify you.

We may require access to the Property where reasonably necessary to:

  • carry out urgent repairs;

  • protect the safety of persons or property;

  • comply with legal obligations; or

  • investigate suspected breaches of these Terms & Conditions.

Where circumstances permit, reasonable notice will be given.

18. Complaints and Maintenance Issues

We want every guest to enjoy their stay at Villa Kalliroi.

If you experience any issue during your stay, please notify us or our local property manager as soon as reasonably possible so that we have the opportunity to resolve the matter promptly.

We cannot reasonably investigate or remedy issues that are first reported after your departure.

19. Personal Belongings

You remain responsible for your personal belongings throughout your stay.

To the fullest extent permitted by applicable law, we are not responsible for the loss, theft or damage of personal belongings unless such loss or damage results directly from our negligence.

Any property left behind after departure may be returned at your expense where reasonably practicable.

20. Insurance

We strongly recommend that you obtain comprehensive travel insurance before travelling.

Your policy should include, where appropriate, cancellation cover, medical expenses, personal belongings and personal liability.

21. Limitation of Liability

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited under applicable law.

Subject to the above, we shall not be liable for:

  • events outside our reasonable control;

  • interruption of utilities or telecommunications provided by third parties beyond our reasonable control;

  • temporary failure of internet services;

  • weather conditions, natural events or government restrictions;

  • injury, loss or damage arising from misuse of the Property or failure to follow these Terms & Conditions; or

  • indirect or consequential losses, including travel expenses, alternative accommodation costs or loss of enjoyment, except where required by law.

 

22. Force Majeure

Neither party shall be liable for any failure or delay in performing their obligations under these Terms & Conditions where such failure or delay results from Force Majeure.

Where Force Majeure affects a confirmed booking, the provisions of Clause 3 ("Changes made by us") shall apply.

23. Termination

We hope every guest enjoys a relaxing and trouble-free stay. However, we reserve the right to terminate your booking and require your Booking Party to leave the Property immediately, without refund, where there has been a serious or repeated breach of these Terms & Conditions.

This includes, but is not limited to:

  • exceeding the maximum permitted occupancy;

  • unauthorised overnight guests;

  • parties or events;

  • excessive noise or behaviour causing disturbance to neighbours;

  • illegal or criminal activity;

  • intentional or reckless damage to the Property;

  • access to prohibited areas, including the roof;

  • behaviour that places any person or the Property at risk; or

  • any conduct that prevents us from fulfilling our obligations to neighbouring residents or future guests.

Termination under this clause does not affect our right to recover the cost of any damage, losses or additional expenses resulting from the breach.

24. Privacy

We will process your personal information in accordance with applicable data protection legislation and our Privacy Policy.

Our Privacy Policy explains how we collect, use, store, disclose and protect your personal information in connection with your booking and your use of our Website and forms an integral part of these Terms & Conditions.

25. Governing Law

These Terms & Conditions and any dispute arising out of or in connection with them shall be governed by the laws of Greece. Any dispute arising out of or in connection with these Terms & Conditions shall be subject to the jurisdiction of the competent courts of Greece, subject to any mandatory consumer protection provisions or jurisdictional rights that may apply under applicable law.
